Privacy Policy

Effective date: August 27, 2026

This policy explains what Transkio collects when you use our transcription service, why we collect it, who we share it with, and the rights you have over it. It applies to everyone who visits transkio.com or uses the app, whether or not you have an account.

1. What we collect

Depending on how you use Transkio, we collect:

  • Account data: email address, display name, and authentication metadata from Firebase Authentication (or your Google account, if you sign in that way).
  • Your content: the audio/video files you upload or record, and the transcripts, summaries, translations, and subtitle files generated from them.
  • Usage and billing data: which plan you're on, transcription minutes used, feature usage (summaries, translation, diarization), and — for paying customers — a subscription status synced from Stripe. We never see or store your card number; Stripe handles that directly.
  • Support communications: anything you send us via the contact form or email.
  • Cookie/consent preferences: saved only in your browser's local storage, not sent to our servers — see our Cookie Policy.

2. Why we use it

We use this data to:

  • Generate transcripts, summaries, translations and subtitles from what you upload.
  • Operate your account, apply plan limits, and process billing.
  • Send transactional emails — welcome, transcription complete/failed, billing events.
  • Respond to support requests.
  • Understand aggregate product usage — only after you opt in to Statistics cookies (see §8).

We do not sell your data, and we do not use your audio or transcripts to train models.

3. Who we share it with

We share data with a small set of providers who help us run Transkio, each acting under their own privacy commitments and only for the purposes below:

  • AI transcription/summarization provider: your uploaded audio/video and the resulting text are sent to our third-party AI provider to generate transcripts, summaries and translations. See our AI Policy for detail on what's sent and how it's handled.
  • Stripe: processes payments and manages your subscription. We receive your subscription status, not your card details.
  • Brevo: sends the transactional emails listed above on our behalf.
  • Firebase / Google Cloud: hosts our database, file storage, and background processing.
  • Google Analytics: only loads, and only receives anonymous, aggregated usage events, after you accept Statistics cookies.

We disclose data to law enforcement or other third parties only where required by law, or to protect the rights, property or safety of Transkio, our users, or the public.

4. How long we keep it

We keep your recordings, transcripts and exports for as long as your account is active. Deleting a transcription removes its file, transcript, and generated exports promptly. Deleting your account removes your data within 30 days — see Settings or contact us to start either process.

5. Your rights

If you're in the EEA, UK, or a jurisdiction with similar protections, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Request deletion of your data (see §4).
  • Export your data in a portable format — every plan can export transcripts and subtitles directly from the app.
  • Object to or restrict certain processing.
  • Withdraw consent (for anything based on consent, like Statistics cookies) at any time.
  • Lodge a complaint with your local data protection authority.

6. Security

Data is encrypted in transit (HTTPS/TLS) and stored on Firebase/Google Cloud infrastructure with access-controlled service accounts. No method of transmission or storage is 100% secure, so we can't guarantee absolute security, but we design access controls around the principle that only the systems that need your data can reach it.

7. International transfers

Our providers (§3) may process data outside your own country, including in the United States. Where that happens, we rely on the safeguards those providers offer — such as Standard Contractual Clauses — for cross-border transfers.

8. Cookies

We use a small number of cookies and browser-storage items, gated by the choices you make in our cookie banner. Full detail — including exactly what's stored and when — lives in our Cookie Policy.

9. Children

Transkio is not directed at children under 16, and we don't knowingly collect personal data from them. If you believe a child has provided us data, contact us and we'll remove it.

10. Changes to this policy

We'll update the effective date above whenever this policy changes, and post a notice on this site for material changes.
